Benefits Of An Enterprise Admin: Adding Other Users & Setting Restrictions

Enterprise Account Owners: No longer will you have to take on all of the responsibilities of your account

Of the numerous account features given to those that are registered as “Enterprise Credit” account owners, one of the most helpful features is being able to add other users to your account and set their restrictions.

In order to add other users to your account, you will need to be registered at cbsbahamas.com as an “Enterprise Credit'' account. Simply register online for a business account and email our wonderful team at online@cbsbahamas.com to get setup. Not only will you gain access to this feature, but you will also be able to create statements and pay invoices right from your account dashboard! Check out our Customer Account Types for more information on the benefits of registering as an 'Enterprise Credit' account.

Enterprise administrators are responsible for managing purchases, vendor payments, buying, and much more. One effective technique to complete these duties faster is to have numerous users under one account. Instead of one person having to generate account statements, pay invoices, and be able to view invoice history, you can designate a "team" of sub users to help with these tasks.

Running a business is no easy task, and unfortunately, not everyone can be trusted. Fortunately, there are many restrictions you can impose to stop these sub-users from misusing their authority.

When you add a new user, you will have the option to make them either a “Purchasing Only User”, meaning that they are allowed to purchase items, but are not allowed to view the financials of the account; or you can make the user a “Financial View & Purchasing User”, meaning that they have the ability to both purchase items and see the account's financial information.

Users on your account will not be able to create or approve orders beyond the parameters you have set for them. You have the ability to set budgets amounts for how much your user is allowed to spend on making an order. As a double form of caution, orders that have been made within the budget will then be sent in for approval. The order will only be sent after it has been approved by an ‘Approver’. You, as the main user, will be able to select other sub-users to approve the orders that their fellow sub-users are trying to make.

The person/people that you set to be ‘Approvers’ will usually be those members of your teams whose judgment that you trust. This is because they are the final barrier that an order will go through before it is purchased. If the person that you have designated as an ‘Approver’ is on leave and you do not have the time to approve orders, you can assign a deputy approver in the meantime. Because you can never be too cautious, you have the option of  setting a budget for your approver and assigning an ‘Executive Approver’ to give secondary approval on all orders! This way you can ensure that the order at hand has been approved by multiple people that you trust.

Some of the other features offered to “Enterprise Credit” account owners and their users are:

  • Address Management: This feature allows you to keep a log of billing and shipping addresses that you have used, along with adding other addresses to be used at a later date. You can avoid wasting time and effort. You can quickly look up any of your contacts if you have their addresses stored in one location. By doing this, you can avoid the inconvenience of having to look through your files or try to recall their address.
  • Cost Centers: A cost center is a department within a business to which costs can be allocated. Cost centers are crucial to a business since they support cost management and ensure that the company is running effectively. Cost centers can aid companies in better oversight and management of their expenditures. This can be accomplished by monitoring each cost center's costs and comparing them against budgets. Then, using this information, it will be possible to pinpoint areas where expenses might be cut. Cost centers can aid in enhancing responsibility within a company. This is due to the fact that each cost center has a manager in charge of managing its costs. This can ensure that everyone in the company is aware of their duties and is making an effort to cut costs. Businesses can raise accountability, boost efficiency, make smarter decisions, and improve reporting by employing cost centers to better monitor and control spending.
  • Generate Reports: On your account, you can auto-generate reports of things like how much a specific cost center has spent this month, or how much money a specific user has spent for the week. You can keep track of your accounts spendings by your various users with the aid of financial reports. You can use this data to spot patterns in your financial performance and to make wise decisions about your finances and who you allow to operate them.
  • Save Carts: If you are unsure of whether you are ready to make a purchase just yet, saving a cart and returning to it later can be useful. By not having to add every item to your cart repeatedly, you can save time and effort. What is different about this feature is that you can make & save MULTIPLE carts! You can use different carts for different projects and add a product to a specific cart when you need to. You can give your cart a title so that you can easily find it when you need to.

Working as a team can make tasks easier and get them done quicker. This is why being able to sub-users to your business account can be so helpful! However, you do not want everyone to have free-reign when it comes to purchasing items for your business. Luckily, when you add sub-users on our website you have ultimate control over what you want these sub-users to be able to see and spend. To ensure ultimate financial safety, sub-user-created orders have to go through a wall, sometimes two walls, of approvers before they are officially sent in. From saved data to auto-generated reports, there are countless tools available to you and your users that will undoubtedly help your business. What are you waiting for!?
